1. Policy

When a request is received for rental of any area of the church, it is most important that the Minister(s) and a member of each of the Session and the Board be advised immediately. The request can then be dealt with quickly and confirmed at the next Session and Board meetings. Once a function is set, the custodian and the secretary must be advised (if they are not already aware of the arrangement). The rental form (kept in the rental file in the church office) must be completed and distributed to all appropriate individuals as soon as possible. One copy will be kept on file in the office; one copy must go to the board of managers. When the rental fee is received, a receipt will be given to the individual and the file copy of the form will be signed to indicate that the fee has been received for deposit.

All individuals must be informed that alcohol is not permitted on church premises at any time. The rental form includes a place for the renter to sign indicating that they understand that alcoholic beverages are not permitted.

Members of St Stephen's are not charged for the use of any of the church facilities.

The fee for other individuals or groups is to be set on a case-by-case basis. (e.g. groups with which we have a connection - such as the Civic Hospital Homeowners Association - have, in the past, paid a nominal fee). Fees for ongoing activities (daily, weekly, etc.) may be adjusted to reflect the cost of utilities, supplies and cleaning.

Wedding services for non-St Stephen's members are to be conducted by our Minister(s) and St Stephen's organist will be in charge of all musical arrangements. (See "Your Wedding at St Stephen's")

The following fee schedule is a standard charge intended to cover the cost of providing the facility. It may be adjusted to take into account the nature of the event and the particulars of the requestor.
